A sequence is a planned conversation, not a queue of repeated messages. Zilch Mail lets you combine an initial message with timed follow-ups and conditional branches so each recipient receives a controlled path instead of a burst of unrelated mail.
Design the sequence before opening the editor
- Define the audience and the legitimate reason they should hear from you.
- Write the one action or reply you want from each step.
- Choose a maximum number of follow-ups before the sequence ends.
- Decide what should happen after an open, click, reply, unsubscribe, bounce, or complaint.
- Set a stopping rule so recipients do not continue receiving messages after the conversation is over.
Use the five-step campaign flow
- 1Setup: name the campaign and select the sending accounts and rotation strategy.
- 2Content: select templates and Subject Groups, configure personalization, links, and automatic plain-text generation.
- 3Recipients: select lists or segments and review suppression exclusions.
- 4Tracking & Schedule: choose tracking, advanced spintax, Max link redirects, and an optional send time.
- 5Review: compare the campaign summary with the deliverability checklist, send a test, and confirm before launch.
Choose delays that match the conversation
Short delays can be appropriate for an active support or transactional flow, while cold outreach needs more restraint. Avoid sending several follow-ups close together simply because the software can schedule them. Build time for a recipient to read, reply, or opt out.
Branch on meaningful signals
| Signal | Reasonable next step | Avoid |
|---|---|---|
| Opened | Send a relevant follow-up after an appropriate delay | Treating an open as consent or intent |
| Clicked | Continue with information related to the clicked topic | Repeating the same pitch or hiding the destination |
| Replied | Stop automation and move the contact to a human workflow | Continuing automated messages after a reply |
| Unsubscribed or complained | Suppress the address immediately | Re-enrolling the contact from another list |
| Hard bounced | Suppress and investigate the address or domain | Retrying repeatedly |
Review enrollment every time
Before starting or resuming a sequence, confirm that the recipient list, suppression list, sending accounts, and schedule still match the campaign’s purpose.
Pause, resume, or stop with intent
Pause a sequence when sender health changes, a product message becomes outdated, or a provider begins deferring mail. Resume only after reviewing the remaining queue and the latest bounce, complaint, and unsubscribe events. Stop a sequence when the offer, event, or reason for contact no longer applies.
Measure the conversation, not just volume
- Delivery and hard-bounce rate show whether the audience and sender are healthy.
- Reply and conversion events are more meaningful than opens alone.
- Unsubscribe and complaint rates indicate whether the sequence is relevant and properly targeted.
- Step-level results reveal where recipients lose interest or where the message needs revision.
